Assistant Program Manager
One (1) Full-Time Position
City Hall Hours
$65,000, plus benefits
The Office of Economic and Community Development (OECD) seeks a motivated, highly-organized, self-starting professional to serve as Assistant Program Manager. The Assistant Program Manager reports directly to the Program Manager and provides general administrative, project related and clerical support. The Assistant Program Manager will maintain project operation records, files and work papers and provides special assistance on OECD projects as warranted.
Duties and Responsibilities include, but are not limited to
Provides administrative, project related, and clerical support to the Program Manager.
Maintains all project operations records, files, and work papers.
IDIS end user for program and project activities (e.g. new project set up)
Provides service and support to subrecipients, grant applicants, contractors, internal city departments, and community stakeholders as needed.
Maintains OECD special project files and assists with assigned projects as directed.
Provides OECD phone support.
Assists with the collection and organization of entitlement grant applications
Assists with the coordination, preparation, and distribution of the annual request for entitlement booklet.
Assist the Program Manager on compliance related tasks as assigned.
Conducts onsite assigned project monitoring visits as required.
Provides support to various OECD annual/re-occurring projects and programs as required, assigned or directed.
Assist with subrecipient outreach efforts and training as needed.
Provides administrative support for regulatory report preparation as assigned (e.g. Consolidated Plan (CP), Annual Action Plan (AAP), Consolidated Annual Performance and Evaluation Report (CAPER), environmental review reports, and monitoring reports)
Provides administrative support in the following areas; youth assistance coordination, summer youth employment program, and movie nights.
May attend special community OECD meetings; hearings, work sessions, and neighborhood meetings as requested.
May perform special projects, tasks or activities as required or requested by the Program Manager, Community Development Coordinator, Community Facilities Manager or Executive Director.
Serves as backup for Program Manager.
Other duties as assigned.
Preferred Education and Qualifications
Bachelor’s degree in Business Administration, Public Administration, or related field.
Good communication skills and excellent writing skills in order to take on and complete grant applications and or specifications.
Experience with grant administration and project management.
The successful candidate will be highly organized, detail-oriented, and a proficient multitasker.
